Cooperation & Commercial Terms

- All prices and rates are stated in DKK.

- Payment by invoice is possible, where terms and details are agreed individually for each booking.

- Fast response times and dedicated B2B support are offered throughout the season.

Cancellation Policy for Groups (10–30 people)

- Up to 56 days (8 weeks) before departure: Free cancellation.

- 55 to 28 days (4 weeks) before departure: 50% cancellation fee of the total booking value.

- Less than 28 days before departure or no-show: 100% cancellation fee.

- If a tour is cancelled by Event Ilulissat due to severe weather, safety risks or extreme ice conditions, the full amount will be refunded if the tour cannot be rebooked to fit into the guests’ travel schedule.

Booking Procedure

Guidelines and procedures for payments when making reservations

General payment policy for Event Ilulissat

Payment:
Full payment is required at the time of booking for all day tours, standard ticket sales and scheduled departures. Reservations are only confirmed once full payment has been received and written confirmation has been sent. The amount is reserved on the account as soon as the payment is completed.

Payment methods and currency

Ilulissat Event offers several secure payment options, including payment cards, bank transfer (free of charge) and other methods specified on the website. All prices are stated and settled in Danish kroner (DKK). If the customer chooses to pay in another currency, the customer is solely responsible for covering all associated costs – including exchange rate fluctuations between the time of reservation and payment, as well as any currency conversion fees. Event Ilulissat assumes no responsibility for such additional costs. The right is also reserved to continuously adjust which payment methods are accepted, and reasonable notice will be given in the event of such changes.

Cooperation Guidelines - Event Ilulissat

1. Weather & Safety

Arctic weather is unpredictable. Event Ilulissat reserves the right to cancel or change activities due to weather or safety conditions. In such cases, priority will be given to offering an alternative activity or providing a full refund.

2. No-show Policy

For reservations that are not cancelled within the agreed 4-week deadline, or in the event of a no-show, 100% of the reservation amount will be invoiced.

3. Travel Insurance

All guests are kindly requested to have valid travel and health insurance, including coverage for search and rescue operations in Greenland.

4. Operational Communication

A phone number for the group leader, who can be reached at all times during the stay in Ilulissat, is requested in case of urgent changes (e.g. flight delays).

5. Language

Activities and safety briefings are conducted in English. If there are guests who require special language assistance, this must be communicated in advance so that preparations can be made accordingly.
